How To Utilize Screen Pops

OneCloud Connect's screen pop feature instantly displays caller information on your screen as calls arrive. Drawing customer data, history, and account details from your CRM, this intelligent tool presents everything you need to know in a customizable window—exactly when you need it. By providing critical context before you answer, screen pops eliminate information-gathering delays, enable personalized service from the first moment, and boost both efficiency and customer satisfaction.

How to Navigate to your Screen Pop Settings

  1. Login to your OneCloud Connect Desktop app or login on the web at https://connect.onecloud.com/login
  2. In the top right, select the dropdown arrow and click on "Manage Account"
  3. Scroll down to the "Configure Screen Pop" Section 
  4. Click on the current "Screen Pop Behavior" and select the behavior that you want to utilize
    1. On Answer
      1. When you answer a call a screen pop will appear in a new tab in your browser. 
    2. On Ring
      1. When a call comes in a screen pop will appear in a new tab in your browser. 
    3. Manual
      1. A UI will appear on an active call, allowing you to choose to open the screen pop when ready

    4. Off
      1. Disables the screen-pop feature
  5. Click on the current "Screen Pop URL Preference" and select the behavior that you want to utilize

    1. Custom
      1. Customize a screen pop to do a unique search in your select CRM.
        For more information about configuring a custom screen pop check the "Custom Screen Pop Configuration" section
    2. Google
      1. Searches the caller's number in google.
    3. HubSpot
      1. Does a default search of the caller's number in your HubSpot Tenant.
      2. You will need your HubSpot Instance ID. 
        1. Log in to your HubSpot account
        2. Look at your browser's address bar
        3. Your instance ID (also called Hub ID) will appear in the URL in this format:
          https://app.hubspot.com/contacts/{INSTANCE_ID}/
    4. Zoho CRM
      1. Does a default search of the caller's number in your Zoho CRM.
    5. Salesforce
      1. Does a default search of the caller's number in your Salesforce Tenant.
      2. You will need your Salesforce Instance ID.
        1. Log in to your Salesforce account
        2. Look at your browser's address bar
        3. The instance name will appear in the URL format:
          https://[instance-name].salesforce.com
    6. Google Contacts
      1. Does a search of the caller's number in your google account's contacts. 

Custom Screen Pop Configuration

When you select "Custom" as your Screen Pop URL preference, you'll need to configure both the URL and phone number format to ensure proper functionality.

URL Construction Guidelines:

The custom URL field allows you to create a dynamic link that will open when you receive an incoming call.
You can use special tokens in your URL that will be automatically replaced with actual call information:
Available Tokens:
  1. [phonenumber]
    1. Replaced with the incoming caller's phone number
URL Examples:
  1. Search Engine Example:
    1. https://www.google.com/search?q=[phonenumber]
    2. When someone calls from 8009219680, this will open: https://www.google.com/search?q=8009219680
  2. Search by Caller Name:
    1. https://www.google.com/search?q=[cnam]
    2. If "OneCloud" calls you, this will open: https://www.google.com/search?q=OneCloud
  3. CRM Integration Example:
    1. https://mycrm.example.com/contacts?search=[phonenumber]
    2. This will search for the caller's number in your custom CRM system

Phone Number Format Options

Select the appropriate phone number format that works best with your custom URL destination:
  1. xxxxxxxxxx (Default)
    1. Plain 10-digit format (e.g., 8009219680)
  2. xxx-xxx-xxxx
    1. Hyphenated format (e.g., 800-921-9680)
  3. x-xxx-xxx-xxxx
    1. Format with country code (e.g., 1-800-921-9680)
  4. (xxx) xxx-xxxx
    1. Standard US format with parentheses (e.g., (800) 921-9680)
  5. +xxxxxxxxxx
    1. e164 format

Important Notes:

  1. Screen pop will only trigger when the inbound caller ID has more than 6 digits
  2. Test your URL with different phone number formats to ensure it works with your destination system
  3. The screen pop behavior (on answer, on ringing, manual, or disabled) can be set separately in your user profile settings
  4. Remember to click "Save" after configuring your custom URL and phone number format to apply your changes
