OneCloud Connect - Settings Menu

This article servers as a brief overview of the settings menu in the OneCloud Connect Application.




User Settings Dropdown

To open the user settings dropdown, click on the down arrow in the top right hand corner of the screen, next to the user information.





Within the expanded menu, there are several options that will be described here.



User Status

Directly below your email address, you will see your status within the application. Click on the dropdown arrow next to the status to change your status to any of the options.



This status will be displayed to other users when you are shown across the application.

Status Message

To the right of the "status" option, you will see an option to "Set status message". Click on this to set a custom status message. 



This message will be displayed to users who hover over your icon across the application to see your user profile.




To edit or remove the status message, simply go back to the user settings dropdown and you will see the active status message shown, with an edit button and a delete button.



The pencil icon will allow you to edit the status message, while the red eraser icon will allow you to remove the status message from your user.

Meeting ID

Below the user status and status message, the first option is for Meeting ID. This is a dropdown that will allow you to select either a pre-defined custom meeting ID or to generate one automatically. This will be the default meeting ID that is set when you start or schedule meeting.



Selecting "Generate Automatically" will generate a randomized meeting ID for each meeting that you host.

Caller ID

If there are multiple phone numbers that are associated with your OneCloud user, you can use the "Caller ID" dropdown to select which phone number will be sent as your caller ID when you place an outbound call.




Manage Account

Clicking the "Manage Account" option will bring up a menu that will allow you to change your user settings as desired.

Personal Info

Firstly, we have the "Personal Info" section.


Here, you will be able to see your user role, which is set in OneCloud. You can change your first and last name, set your time zone, and choose your time format (12 or 24 hour format). If any changes are desired, make the changes in the fields and press the "Save" button in the bottom right corner of the application.



Caller ID Information


Next, we have the "Caller ID Information" section.


Here, you can see your Caller ID that is sent on outbound calls as well as your emergency caller ID information. If you need to adjust the Emergency Address that would be sent on outbound emergency calls, you can do so by clicking the blue "Add" button and entering in the new address information.




After entering in the new address, click the "Validate" button to ensure the address is correct and then press the blue "Save" button to save the address.

Once added, you will be able to select the address in the "Emergency Address" dropdown.




Personal Meeting ID


Next, we have the "Personal Meeting ID" settings.





In this section, we can change our Personal Meeting ID setting, as mentioned previously. We can edit our personal meeting ID or select "generate automatically" so that any new started or scheduled meetings will use a randomized Meeting ID.



Settings

Below the sections for "Manage Account", we have "Settings", which contains some more general settings for the application. This can also be accessed by clicking the user dropdown in the top right hand corner and clicking on "Settings".


Theme

The "theme" settings allow you to select the interface theme within the application.


You can select between Light Theme, Dark Theme, or System Preference, which will follow the preference as you have set on your computer.


Change Account Security





Under the "Change Account Security" section, you will have the option to set up multi-factor authentication if you have not yet done so. To do this, click on "Set Up Authenticator" and use an Authenticator app such as Microsoft Authenticator or Google Authenticator to scan the QR code. The app will provide a passcode which you can then enter into the application to complete setup.





If you wish to change the email address associated with your account, click on the "Edit email" button. 



You will be prompted to enter the new email address and confirm it in the next field. Then, you will need to enter your current password in order to save. After doing so, you can click on the blue "Save" button in the bottom right corner to save the change.


Voicemail



Under the "Voicemail" settings, there are various voicemail options that you can customize. You can disable voicemail on your user entirely by de-selecting the "Enable Voicemails" toggle.




Under Inbox, you have the option to set another user to copy all of your voicemails too. This way, any voicemail that is left on your user will also be sent to the specified user. If you wish to utilize this, simply enter the first few characters of the user who you would like to copy voicemails to and then click on the user to select them.




Once enabled, you will see the selected user(s) underneath the search bar.



Under "Greetings", you can Add, Edit, or Delete your personal voicemail greetings. 


The play button will allow you to listen to the greeting within the application.


The download button will download a copy of the greeting to your computer.


To add a new greeting, click on the "Add" button. This brings up a menu that allows you to set up a new greeting. You can use Text-To-Speech to enter the text that you want your greeting to say, select a voice, and preview the greeting. Clicking the Play button next to the voice option will bring up a window in which you can playback the greeting before saving.




Select "Upload" to upload a voicemail greeting file from your computer.




Or, you can select "Record" to record your own greeting on the fly using the microphone you have connected to your application. Once you have recorded a greeting, you can press the Play button to open a window that will allow you to preview the greeting before saving.





Under "Notifications", you can enable email notifications to be sent when you receive a new voicemail. If toggled to enabled, you will have the following options:



Send with hyperlink - Sends an email containing a hyperlink which can be clicked to access a recording of the new voicemail.
Send with brief hyperlink - Sends an email containing a hyperlink and also contains a transcription of the beginning of the voicemail message.
Send with attachment - Sends an email containing an attachment wav file that is a recording of the new voicemail.
Send with brief attachment - Sends an email containing an attachment wav file and also contains a transcription of the beginning of the voicemail message.


Video



Under the Video section, you can select the device to use as your Camera and also see a preview of your camera's view.


Audio


Under the "Audio" section, you can select the devices to use for your headset and microphone within the application.

You can press the "Test Speaker" button to play a sound and ensure that your audio is coming over the correct device.

You can also press the "Test Mic" button and view the "Input Level" bar while speaking to ensure that your audio input is coming through correctly.

Connected Accounts


Under "Connected Accounts", you can set up Google or Microsoft accounts to be linked to your OneCloud Connect, so that you can use SSO with either platform to sign in rather than entering your credentials each time.
